Principal Information Specialist: Communities of Practice position available at the National Research Foundation, Pretoria – South Africa

The National Research Foundation (NRF) supports and promotes research through funding, human resource development and by providing the necessary research and development in all fields of science and technology, including indigenous knowledge.

The Information Resources Services (IRS) Unit is one of two units within the Knowledge Management & Evaluation Directorate.  Its role is to facilitate the transfer and accessibility of research information and data to a wider research community. The unit has three major focus areas: Records and Document Management, Content Resource Management, and Communities of Practice.  This position falls within the Communities of Practice area.

The following are key requirements for the position:
• identification, development and nurturing of networks and communities;
• establishment of knowledge communities, capturing learning and experiences and facilitating knowledge creation as well as knowledge transfer;
• facilitation the development of policies and strategies for CoP’s;
• implementation of procedures for CoP’s within and outside the NRF;
• ensuring of science networking, knowledge sharing and transfer in the research environment through the management of the South African Network of Skills Abroad (SANSA);
• facilitating of the acquisition or development of appropriate knowledge management processes, solutions, tools, infrastructure and standards;
• assistance with the profiling and positioning of IRS nationally and internationally.

Requirements are:
• Relevant post graduate degree in Information Science / Information Management / Knowledge Management / Business Management
• Minimum of 5 (five) years’ experience in knowledge management support or similar work environments;
• Experience in delivering knowledge management services such as establishing and supporting CoP’s;
• Service orientated;
• Initiative and innovative;
• Coordination, facilitation and organising skills;
• Proven analytical and report writing skills;
• Advanced computer literacy with an understanding of relevant ICT platforms;
• Ability to gain a clear overview of an organisation and its activities;
• Strong communication and presentation skills;
• Team player with good interpersonal skills.

Chief Registry Clerk position available at the National Research Foundation, Pretoria – South Africa

Applications are invited for the position of Chief Registry Clerk whose key responsibilities will include:-

*           assist with an audit of record keeping and records management practices against the legal requirements;

*           assist with the drafting and implementing of a records management policy;

*           train clients in R&DM policies i.e. PAIA, NARS;

*           inspect sub-units to ensure that sound records management practices are followed;

*           assist with the designing and updating of a file plan for approval by the National Archives and Records Service;

*           implementing of the file plan effectively (manual system);

*           develop filing systems, and maintaining these to meet administrative, legal, and financial requirements (manual system);

*           supervise the overall use of the filing systems at Registry;

*           conduct regular inspections of all records storage areas to ensure that proper access controls are in place;

*           implement retention and disposal schedules (manual system);

*           provide training on the management of the records within Registry;

*           ensure that the registry staff understand their responsibilities and acquire the necessary skills to manage records effectively, e.g. filing procedures;

*           assist in advising and training of staff in other departments on the management of their records and information;

*           compile a registry procedure annual; provide training on the use of the registry procedure manual;

*           maintain Registry Loan System;

*           ensure that registry staff captures metadata on the Registry Loan system;

*           quality control of metadata description on the Registry Loan system;

*           assist with the compilation of progress reports; and

*           respond to internal and/or external information enquiries (schedule who will handle these).



Requirements are:

*           Honours degree in Information Science or Archival Science or equivalent qualification

*           Five (5) years of operational experience in a Records and Documents Management environment that includes the management and operation of a Records and Document Management Systems (R&DMS)

*           Extensive experience in the field of paper-based records management

*           Proven report writing skills

*           Computer literacy skills

*           Ability to gain a clear overview of an organisation and its activities

*           Sound understanding of technical and other issues related to R&DMS

*           Strong communication and presentation skills

*           Good interpersonal and organisational skills
